What Is a Month-End Close?

The monthly routine that turns a pile of transactions into numbers you can trust—explained in plain English.

A month-end close is the set of steps an accounting team completes after each month ends to make sure the books for that month are complete, accurate, and finished. Once the month is “closed,” the financial statements for it can be relied on—and they shouldn’t change.

If your books are never really closed, your reports are always a moving target.

What happens during a close

Every business is a little different, but a solid close usually includes:

  1. Recording every transaction. All sales, bills, payroll, and expenses for the month are entered and categorized.
  2. Reconciling accounts. Bank and credit-card accounts are matched to their statements, so every dollar in the books agrees with the bank.
  3. Reviewing the balance sheet. Loans, payables, receivables, and other balances are checked against supporting records.
  4. Making adjustments. Things like depreciation, prepaid expenses, and accruals are recorded so the month reflects what really happened.
  5. Reviewing the results. Someone looks at the profit & loss statement and balance sheet for anything that seems off.
  6. Locking the period. The month is closed so it can’t be changed by accident.

Why it matters to a business owner

A consistent close means you get reliable financial statements on a predictable schedule. That’s what lets you answer questions like:

  • Did we actually make money last month?
  • Where is the cash going?
  • Are we on track compared with last year—or with the budget?

Without a close, those answers come from the bank balance and a gut feeling.

How long should it take?

For most small businesses with good processes, the close can be finished within one to three weeks after the month ends. If your books are months behind, the first step isn’t a close—it’s a cleanup.
